We’re comprised of caretaking and cleaning services and currently offer two options that can be adopted.
Caretaking service provision options
We’ll provide caretaking management systems covering quality management, environmental and health and safety. Site-specific operations manuals, risk assessment, safe working procedures and control of substances hazardous to health (COSHH) information will also be provided, including regular review and updates. We will ensure compliance with all current and relevant legislation, including that related to health and safety.
Planned quality audits will be undertaken in accordance with existing provisions of the management systems, providing assessment and suggesting remedial actions if required.
Supplier contracts management
Support and advice regarding equipment repair and maintenance will be provided as necessary. We’ll take responsibility for the procurement of materials and equipment, assessing suppliers and negotiating pricing on behalf of the school. The janitorial services team will also provide advice on new equipment, appliances and machinery.
Option two provisions includes all of the elements detailed from option one, plus support with the following.
On behalf of the school governors, your partnership supervisor will assist the school with personnel services, including:
- advice on advertising
- staffing formulation
- management of the DBS clearance process
- redundancy and redeployment
- capability and disciplinary procedures
- absence management
- occupational health and safety welfare
- conditions of service
- tribunals and staff counselling
Issues of any sanctions under the school’s absence management policy and procedures, capability and disciplinary procedures and redundancy procedures must be carried out by the school. We will also assist with the administration and liaise with other council departments concerning residential caretaker’s accommodation.
Caretaking employees will be line managed on behalf of the school governors by your partnership supervisor. Headteachers are encouraged to give direction to caretaking staff to meet the demands of the school. Supply of a daily works planner will be drafted in agreement with the headteacher to identify the work schedule and daily hours.
Supervisors will carry out programmed site visits throughout the year to undertake performance management measures and will visit the school site ad-hoc, as required. The team will also be available daily to deal with health and safety queries and support accident investigation.
Training and development
All newly appointed employees will receive a comprehensive induction. We can offer support, advice and development of the caretaker’s role in consultation with the school, including production of training programmes.
We also provide the caretaker’s mandatory training in fire awareness, ladders, electrical awareness and manual handling. Support with additional training modules will also be available online through ‘learning together.’
Procurement of materials and equipment
In addition to the support outlined within option one, ‘supplier contract management,’ we will also take responsibility for the procurement lifecycle of materials and equipment, including ordering, purchasing and the delivery of cleaning equipment and materials. We will also monitor stock control and consumption.
Key holding arrangements
A security key holding service can be provided during the caretaker’s annual leave to provide an emergency callout service. All efforts will be made by the team to find a suitable key holder. If one cannot be found, the responsibility of key holding will fall to the school.
The team can provide guidance and advice around specialist services and equipment, such as advanced floor cleaning and sanding equipment.
Mobile caretaking service
The mobile caretaking service is designed to give you peace of mind when your caretaker is absent from work or when they may require extra support.
All of our mobile caretakers are experienced, fully trained and competent in all aspects of caretaking.
For periods of absence, we will offer fully trained replacement staff.
During periods of high demand, duties may only include the opening and closing of buildings, ensuring upkeep of toilet facilities and setting of lunchtime tables and chairs.
Attending lettings and alarm call outs are not included within the service, although the mobile caretaker assigned to cover the absence at your site may be willing to assist.
The service will be charged on an hourly rate, with a minimum of three hours per day. If you require the use of this service, please contact your partnership supervisor or the janitorial services manager.
Caretaker training provision
We provide regular training for caretakers throughout the year, including the following mandatory training which must be refreshed every three years:
- electrical awareness
- manual handling
- fire awareness
- working at height/ladders
We can also offer bespoke training to meet specific needs.

We have a team of skilled people with a vast amount of experience working within schools and corporate buildings in Northumberland. For peace of mind, all of our team have been trained in safeguarding and are DBS checked.
We also offer a handyman service to carry out basic DIY tasks, such as:
- repair leaking taps
- repair toilet seats and handles
- sealing or resealing of baths, showers and sinks
- cleaning blockages
- replace missing tiles
- patch up damaged plaster
- deep cleaning
- carpet cleaning
- upholstery cleaning
- install white boards
- install display cabinets
- construct flat pack furniture
- install TV wall brackets
- replace door and window locks and handles
- put up shelves
